Payment of Trek / Adventure Activity Fee – Sherpa Escapes
Booking any trek, expedition, or adventure service with Sherpa Escapes constitutes a formal agreement between Sherpa Escapes (hereinafter referred to as the First Party) and the Client (hereinafter referred to as the Second Party). Collectively, both are referred to as the Parties. By confirming your booking with Sherpa Escapes, you accept these terms and conditions unconditionally. These terms apply to you and any individuals included in your booking.
Trekking, peak climbing, and high-altitude expeditions in the Himalayas naturally involve risks to life, health, and property. Weather conditions can change rapidly, leading to situations beyond our control, including injury, delays, or worse.
At Sherpa Escapes, we are committed to minimizing risks, ensuring safety, and providing the best possible support within operational and financial constraints. However, participants must understand and accept that adventure activities carry inherent uncertainties.
Please read and understand these terms and conditions carefully before confirming your participation. Your booking implies your full acceptance of the same.
Promotions – Sherpa Escapes
The photographs and visuals used on our website, social media, and promotional materials are intended for marketing and represent the spirit of our adventures. These images are for illustrative purposes only and do not guarantee that you will experience, encounter, or witness the exact scenes or conditions depicted.
Natural elements, weather, wildlife sightings, and landscapes may vary during each expedition.
Fitness Responsibility – Sherpa Escapes
Sherpa Escapes organizes treks and expeditions that vary in difficulty based on terrain, altitude, weather, and physical demand. It is your responsibility to carefully review the difficulty level of each trip and assess your own preparedness before confirming your participation.
Sherpa Escapes is not a medical authority. You are solely responsible for consulting a qualified medical professional regarding your health, fitness level, and any vaccinations or health requirements necessary for participation.
Some expeditions, especially at high altitude, require a good level of fitness, mental resilience, and preparation. The responsibility to be physically and mentally ready for the trek or climb rests entirely with you. Carrying appropriate clothing, personal equipment, and maintaining your health are essential.
While there is no strict age limit for most trips, any medical condition, disability, pregnancy, or mental or physical limitation that may affect your ability to safely complete the trip must be disclosed to Sherpa Escapes at the time of booking. You also confirm that you and any participants you register do not suffer from any condition that could pose a risk to yourself or others during the trip.
Failure to disclose relevant medical information may result in your removal from the expedition at any stage, at your own expense, with no refund provided. Sherpa Escapes reserves the right to decline, accept, or remove any participant whose condition may compromise their safety or the safety of others.
Program Dates
It is your responsibility to carefully verify all dates mentioned in your travel documents, confirmations, and communications related to your trip.
Documents
All required documents must be submitted to Sherpa Escapes in advance as instructed. Sherpa Escapes will not be held responsible for any incomplete formalities, missing documents, or the inability to join the trip due to documentation issues. Ensuring that all necessary papers are in order is solely your responsibility.
Itinerary & Changes
At Sherpa Escapes, your safety and experience are our top priorities. We strive to conduct every trip with honesty, sincerity, and the highest operational standards to make your expedition as smooth and enjoyable as possible.
However, Sherpa Escapes reserves the right to modify, delay, or cancel all or part of the trip under unforeseen circumstances, including but not limited to:
- Natural disasters (Acts of God)
- Road blockages or route disruptions
- Political unrest or government restrictions
- Flight cancellations or delays
- Health emergencies, sickness, or accidents
- Any situation beyond the reasonable control of Sherpa Escapes
Any additional expenses arising from such changes, including transportation, accommodation, or other logistical adjustments, will be the responsibility of the participant at the time they occur.
Wherever possible, Sherpa Escapes will inform you of any changes in advance or as soon as reasonably possible during the trip.
Refund Policy – Sherpa Escapes
No refunds (partial or full) will be provided if you voluntarily leave, withdraw, or are unable to complete the trip after it has begun for any reason. This includes missed services such as accommodation, transportation, meals, sightseeing, or any activities not utilized.
In the unlikely event that Sherpa Escapes cancels a trip due to unforeseen circumstances beyond our control, we will offer an alternative trip, revised dates, or a credit voucher (valid for one year from the original trip date). You may accept the alternative trip or apply the voucher amount toward another Sherpa Escapes program of your choice. Any difference in cost will be your responsibility.
Sherpa Escapes will not be liable for any additional expenses such as airfare, train tickets, hotel bookings, visa fees, credit card charges, or other travel arrangements associated with your participation in the trip. Refunds in such scenarios will be governed strictly by our standard cancellation policy.
No refunds are possible for missed or unused services, including early termination of the trip due to illness, personal emergencies, family situations, or other voluntary/involuntary reasons. Sherpa Escapes also does not compensate for losses arising from delays, alterations, curtailments, or cancellations of the trip for reasons beyond our control. You agree that, under all circumstances, the maximum liability of Sherpa Escapes will not exceed the amount paid for the trip.
Communication
All official communication will be conducted through the email ID provided by you at the time of booking. Sherpa Escapes is not responsible for delayed or lost communication resulting from incorrect email details submitted during registration.
If your email ID changes, it is your responsibility to notify Sherpa Escapes in writing at sherpaescapes@gmail.com at the earliest.
Luggage Responsibility
Participants are solely responsible for the safety of their luggage, personal belongings, and travel documents throughout the trip. Sherpa Escapes is not liable for the loss, theft, or damage of baggage, cash, passports, tickets, or other valuables during the trip, regardless of the cause.
On-Trip Behaviour & Code of Conduct
All participants are expected to conduct themselves in a respectful, responsible manner that ensures group harmony and safety.
Sherpa Escapes reserves the right to terminate your participation in the trip without notice if your behaviour:
- Causes distress, annoyance, or danger to fellow participants or staff
- Results in damage to property or equipment
- Disrupts the safety, mobility, or well-being of the group
In such cases, no refund will be issued for missed or unused services.
Participants must also comply with the decisions and instructions of the designated Expedition Leader or Trek Leader, whose authority on matters of safety, group welfare, and trip management is final and binding.
Amenities – Sherpa Escapes
Sherpa Escapes makes every effort to provide a safe and comfortable experience during your journey. However, amenities in the Himalayan region may differ significantly from what you are accustomed to at home. Remote locations, high altitudes, and unpredictable weather conditions can affect the level of comfort. We encourage all participants to approach the experience with patience, enthusiasm, and a willingness to embrace the challenges that come with mountain travel.
Extra Expenses
Each trip has specific inclusions, which may cover accommodation, meals, arrival or departure transfers, guides, entrance fees, technical equipment, and baggage handling as clearly outlined in the itinerary.
Unless otherwise stated, the following are not included:
- Insurance
- International or domestic airfare
- Passport and visa costs
- Airport taxes and excess baggage fees
- Gratuities for guides, staff, or support crew
- Meals and beverages not specified in the itinerary
- Personal expenses such as laundry, phone calls, or optional activities
Please carefully review your trip details for specific inclusions and exclusions.
Awareness of Risks
By booking a trip with Sherpa Escapes, you acknowledge that adventure travel in high-altitude and remote environments carries inherent risks, including but not limited to challenging terrain, unpredictable weather, and limited medical facilities.
You accept responsibility for understanding these risks and agree to participate with full awareness of the physical and logistical challenges involved. Sherpa Escapes is not liable for injuries, accidents, illnesses, or fatalities arising from the natural risks associated with Himalayan travel. We recommend familiarizing yourself with local customs, laws, weather conditions, and ensuring you have contact details for your country’s embassy at the destination.
In Case of Emergency
If you experience illness or injury during your trip, all related expenses — including medical treatment, hospital care, evacuation (road or helicopter), and repatriation — are your sole responsibility.
We highly recommend purchasing comprehensive travel insurance that covers medical emergencies, evacuation, and trip interruptions.
Third-Party Services
Sherpa Escapes works with experienced third-party service providers, including transport, accommodation, porters, guides, and support staff. While we select reliable partners, we cannot be held responsible for any injury, loss, damage, or inconvenience caused by third parties, including the handling of your luggage, transport, or accommodation.
Participants are responsible for their belongings throughout the trip.
Photography & Media Use
Sherpa Escapes reserves the right to photograph or film participants during any trip. We may use these images, along with any photographs or videos voluntarily shared by you via email, messaging apps, or other platforms, for promotional purposes, including but not limited to websites, social media, brochures, and advertising materials.
By participating in a trip with Sherpa Escapes, you grant us a royalty-free, perpetual, worldwide license to use these images. No additional consent or compensation is required for such use.
If you prefer not to have your images used for promotional purposes, please notify Sherpa Escapes in writing at the time of booking.

- All submitted reels, videos, and stories must be of high visual and audio quality, well-edited, and relevant to adventure travel or trekking.
- Content must align with Sherpa Escapes’ values and resonate with our community.
Brand Representation:
- Our logo or brand mention must be clearly visible in all collaborative content, either as an overlay or within the video itself.
Audience Engagement:
- We prioritize collaborations with creators who maintain genuine audience engagement over mere follower count.
Originality and Creativity:
- We encourage unique, authentic, and creative content that reflects the spirit of adventure. Replication of existing Sherpa Escapes content is discouraged.
Mutual Respect & Process:
- We respect creators’ work but reserve the right to accept or decline collaboration proposals based on our content needs and calendar.
- Communication must remain respectful and constructive.
Important Notes:
- We accept a maximum of four collaborations per month, based on our selection process.
- Prior approval is mandatory — please inform us in advance about potential collaborations.
- We allow one collaboration per trek per individual. If you’ve already collaborated with us on a particular trek, please refrain from submitting additional requests for the same event.
While we value every request, not all proposals may be accepted. We appreciate your understanding and look forward to working together to share meaningful mountain stories.
